Managing office staffing and handling time-off requests effectively is key to maintaining smooth operations, avoiding staff burnout, and ensuring good patient care.

The first step is to ensure you have adequate staffing to provide quality patient care.   • How will you handle last-minute sick calls and emergent or unexpected absences?
  • Are there predictable busy periods in your practice that require all staff members to be present?
  • How will holiday coverage be rotated fairly?
  • Who will review time off requests and how and when will communication of approvals or denials occur?
  • How will time-off requests be shared with other staff members? A shared employee time off request calendar can help alleviate possible frustration from employees thinking about asking for time off on days already booked by others.
  • How will time off requests be tracked to ensure fairness (e.g., scheduling software)?
  • How will conflicts be handled?

 

Sometimes, you cannot grant every time-off request, and some employees may be disappointed. Ensure your time off policies are organized, fair, and compliant with federal, state, and local laws. Establishing a clear and equitable system will help you balance employee needs with business requirements.
